We are introducing a new shop calendar function which will give each shop a calendar, to be used for internal shop booking only - as a "by-product", this update will also show you a calendar for each of your equipment.
The shop is built so "auto-booking" of the "next in line" pro/assistant/clerk, is standard, but it can also be used to predefine who is booked for the shop. These bookings will be made in each employee calendar, so it is easy to get an overview of who is in the shop at any given time.
The shop is primarily built for shops with more than one pro, maybe a shopkeeper and some assistants and clerks. The shop keeper may be responsible for most hours, but at times where he/she is not working, the shop is manned by the pros. This is done by creating a "booking" order when setting up the shop. Let's say the shopkeeper is not working Saturday morning and we have 2 other pros in the "order" in the setup. Pro 1 is then auto booked into the shop unless he gets a lesson in, then Pro 2 is "auto booked" into the calendar of the shop. As soon as there is no more staff available for the shop, Pro 2 can no longer be booked by the students as he is shop responsible.
Let's start with the setup.
Under the Calendar tab, we now have a new tab called SHOP - this is where we set up the shop schedule and which employees we have available for the shop (and the rotation).
Here we can create one or more shops. If you have multiple locations, you may also have more shops.
In the setup, we create the date interval where we have the shop open and we create the schedule for each day. We also choose which employees are available for the booking in the shop. The person with number one will be auto booked where it is possible, according to this person's availability in its own calendar.
In the case above, the Shop Keeper will be booked on all the times available in the Shop Keepers Availability. This is where it becomes important you have setup or are setting up the Shop Keepers calendar with all blokerings for days off and holidays etc.
When the Shop Keeper is not available, the next in line will be "soft booked" in the shop, if available at a certain time. If he is not available, it will "soft book" number 2. When there is only 1 left in the rotation, he will be "booked" automatically as the last man for the shop.
We are working with 3 "colors" - light red is "autobooked", the first person on the list, dusty red (Kasper Mayer in the picture below) is the last person in the order, and he is "forced booked". Last is the red, this is a "hard booking" made directly in the pros calendar for when you do have a set schedule to follow.
To book a "shop time" on a pro, you click on the calendar like normal and choose SHOP - create a time in the shop, just like a blocking and he will be marked with red in the calendar, both his own and the shop calendar.
